1. Introduction
V Dental (Aust) Pty Ltd (“VDental”, “we”, “us” or “our”) respects your privacy. This Privacy Policy (“Policy”) explains how we collect, use, store and disclose personal information in connection with our business-to-business dental supply e-commerce website vdental.com.au (the “Website”) and related services (the “Services”).
We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using the Website or Services, you acknowledge you have read and understood this Policy.
2. Information we collect
We collect personal information that is reasonably necessary for our functions and activities, including to supply and deliver products, operate trade accounts, and process payments. This may include:
- Identity & contact: name, business/practice name, ABN (if provided), billing and delivery addresses, email address, phone number.
- Account details: username, password, roles/permissions, order history, saved preferences.
- Order & fulfilment: items purchased, quotes, bulk order requests, delivery instructions, returns/RMA information.
- Payment information: card type, expiry month/year, last four digits, payment tokens and transaction identifiers. Full card numbers and CVV are not stored by us. Payments are handled by PCI-DSS compliant payment processors (for example, WooPayments/Stripe). These processors may store tokenised card data to support recurring or future transactions.
- Marketing & communications: email subscriptions, preferences, campaign interactions, and CRM tags.
- Technical information: IP address, device and browser type, operating system, referring URLs, pages viewed, timestamps, and other diagnostic data collected via cookies and similar technologies.
We generally collect personal information directly from you (e.g., when you create an account, request a quote, submit a purchase order, contact us, or subscribe to updates). We may also receive information from third-party services you authorise (e.g., payment providers, shipping providers).
Sensitive information: We do not intentionally collect sensitive information (e.g., health information) for ordinary e-commerce transactions. If such information is inadvertently provided, we will handle it in accordance with the APPs.
3. How we use your information
We use personal information for the following purposes:

- To process orders, arrange shipping and delivery, manage returns and warranties.
- To process secure payments via third-party gateways and manage stored payment tokens for authorised future use (e.g., reorders), where permitted.

- To improve our Website, Services, user experience, and product range.
- To send marketing communications where you have opted in (see Section 4).
- To comply with legal and regulatory obligations, resolve disputes, and enforce our terms and policies.

We may use your contact details for direct marketing (e.g., newsletters, product updates, promotions) where permitted by law and where you have consented or would reasonably expect it. You can opt out at any time using the unsubscribe link in our emails or by contacting us.
5. Disclosure of personal information

- Payment processors and financial institutions to process transactions and manage chargebacks or fraud prevention.

These service providers are authorised to use personal information only as needed to perform services for us and must handle it in accordance with the APPs and this Policy. We do not sell or rent personal information.
6. Cross-border disclosure
Some service providers (including payment gateways, analytics or cloud hosting) may store or process personal information outside Australia. Where we disclose personal information overseas, we take reasonable steps to ensure the recipient will handle it in accordance with the APPs (APP 8), or we will otherwise ensure an applicable exception under the Privacy Act applies.
7. Cookies & analytics
We use cookies and similar technologies to operate the Website, maintain sessions and carts, remember preferences, analyse performance, and improve Services. You can adjust cookie settings in your browser; however, certain features may not function correctly if cookies are disabled.
We may use third-party analytics services (e.g., Google Analytics) to collect de-identified statistical information about use of the Website. These providers may store data overseas. Analytics data is used to understand and improve site performance and user experience.
8. Data security
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure (APP 11). Measures include access controls, encryption in transit (TLS/SSL), and secure hosting practices. Payment card data is handled by PCI-DSS compliant processors; we do not store full PAN or CVV.
You are responsible for maintaining the confidentiality of your account credentials and for securing the devices you use to access our Services.
9. Data retention & destruction
We retain personal information for as long as reasonably necessary to provide the Services, meet legal and tax obligations, resolve disputes, and maintain accurate records. When personal information is no longer required, we will take reasonable steps to destroy or de-identify it (APP 11.2). Aggregated, non-identifiable information may be retained for statistical purposes.
10. Access & correction
You may request access to the personal information we hold about you and request correction if it is inaccurate, out-of-date, incomplete, irrelevant or misleading (APPs 12 & 13). We may need to verify your identity before processing your request. To make a request, please contact us (see Section 16).
11. Anonymity & pseudonymity
Where lawful and practicable, you may interact with us anonymously or using a pseudonym (APP 2), for example when browsing the Website or making a general enquiry. For account creation, order placement, delivery, payments, returns and warranty purposes, identification is typically required.
12. Unsolicited information
If we receive personal information we did not solicit, we will determine whether we could have lawfully collected it. If not, and it is reasonable and lawful to do so, we will destroy or de-identify it (APP 4).
13. Data breaches (Notifiable Data Breaches scheme)
In the event of a data breach likely to cause serious harm, we will assess and, where required, notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches (NDB) scheme under the Privacy Act 1988 (Cth).
14. Links to other websites
The Website may contain links to third-party sites. We are not responsible for the privacy practices or content of those sites. We recommend reviewing their privacy policies before providing any personal information.
15. Changes to this policy
We may update this Policy from time to time. The updated version will be posted on this page with a revised “Last updated” date. Your continued use of the Website after any changes constitutes acceptance of the updated Policy.
